Hi
I'm sure that nobody is using preliminary results. I also think that we can call our joint papers whatever we want to call them as long as we don't say atlas anywhere. Nor would we. We are independent scientists.

Ashutosh is in a tough place here. But let's try to ignore this as much as possible, as ATLAS is becoming very difficult to defend on these matters.

Dear Ashutosh,

it will take a very good argument for me to start acting like a policeman.
The white paper authors are grown-ups, and can follow the rules they subscribed to,
and I have no business trying to restrict their creativity. That's the job of their collaborations.

Dear Colleagues,
Please note the ATLAS request to follow the ATLAS publication policy in our reports and White Papers.

I would recommend that you forward this email to WhitePaper authors in your subgroups so that they are also informed about the ATLAS requirements.

thanks,
Ashutosh

Dear Ashutosh,

I understand that proceedings for the Snowmass meetings are currently in preparation, and many ATLAS authors are involved in this. I am writing to you in your role as the ATLAS contact for Snowmass.

As you know individual ATLAS authors are not allowed to publish preliminary ATLAS results, see section 5 of the publication policy: https://twiki.cern.ch/twiki/pub/AtlasProtected/AtlasPolicyDocuments/Publications_Policy.pdf

PubCom and ATLAS management have discussed the special circumstances regarding ATLAS contributions to Snowmass.
Of course we understand that conveners of the individual Snowmass working groups will have to sign these proceedings. Thus we would suggest the following:
1. As much as possible published results should be used. Many of the future studies were published in the phase-2 LOI, and the relevant plots can be found here: https://atlas.web.cern.ch/Atlas/GROUPS/PHYSICS/UPGRADE/CERN-LHCC-2012-022/
For published results there is no problem at all.
2. Indicate on the cover page that these are *proceedings* of Snowmass.  As you can see in the publication policy we have different rules for "proceedings on behalf of ATLAS". Of course these proceedings are not on behalf of ATLAS but in any case it seems good to indicate clearly that these are proceedings to distinguish them from a review article.
3. If preliminary results have to be used say "with contributions from the ATLAS collaboration" at the end of the author list. (We are not sure about how CMS wants to handle this)

Could you please make sure that these suggestions are implemented for all articles that contain preliminary ATLAS results? If this is controversial please feel free to get back to me so we can try to work out a different compromise that complies with the ATLAS rules.

ATLAS Publications Committee Chair
