Theo, no authorization is needed. I spoke with Rachel Isip in the Communications Office (she's organizing the whole thing) and she told me that one reason the BBQ is being held at the rec center is the hope that people will do some playing (beach volleyball and soccer) while there. It will just be a more impromptu sort of thing, kept lite and relaxed. Also keep in mind that there will be 1000 people there -- taking half the field for 20-30 of us to play a soccer game may not be practical. Just keep expectations low for next Tuesday...
